Adding, Importing and Exporting Personal Contacts and Doorbell FAQ's

  • If one of my contacts changes their personal information, will it be updated in my 'Personal Contacts' list?

    If the contact is a friend of yours through the Smibs Network, any changes they make to their contact information will automatically be updated in your 'Personal Doorbell' contact list. If your contact is not part of the Smibs Network and you added them manually, you will have to manually edit any changes to their personal contact information.

  • What formats does Doorbell accept for contact imports?

    We are constantly working on expanding the list of services Doorbell can interact with. Currently we support:

    • Outlook (.CSV)
    • Apple Address Book - VCards (.VCF)
    • Act (.XML)
    • Maximizer (.XML)
  • Can I import my Mac Address Book contacts into my Personal Contacts or Doorbell list?

    Yes, you can. You must export your contacts as a vCard file from Mac Address Book. Once your contacts are in the vCard format, they can be imported right into your contact list.

  • I am having problems importing my contacts from Outlook into my 'Personal Contacts' or 'Doorbell' list. What is the problem?

    To export contacts you have collected in Outlook into 'Personal Contacts', you'll need to export them from Outlook as a CSV(Comma Separated Values) file and then import this file into your Doorbell. Try these steps:

    1. First, you need to export your contacts from Outlook to a CSV file. To do this, choose the 'Import and Export Wizard' or try 'File- Export- Contacts' in Outlook and select "Export to a file." Then click the 'Next' button.
    2. Select 'CSV- Comma Separated Values' as the file type. Click the 'Next' button.
    3. Select the 'Contacts' folder as the folder to export from. Click the 'Next' button.
    4. Choose where ever you like to save the exported file. Click the 'Next'.
    5. Now, click the 'Finish' button.

    Your files will now appear as a 'CSV' document. You can directly import this document into either your 'Personal Contacts' or 'Doorbell' contact list.

  • What is a vCard file?

    A vCard file (virtual address card) is a standard way of exchanging data from one application to another. If you have collected addresses in other applications (i.e.: Mac Address Book) you can export them as vCard files and then import them into Doorbell.

  • Is there a limit to how many contacts I can add?

    The amount of contacts you can have is dependent on the plan you choose. Please refer to the Doorbell pricing scheme for more information.

  • How can I edit or add contact information?

    Select the contact you want to edit. On the right hand side of the page you will notice the yellow contact area. Select 'add contact info'. If you'd like to add multiple phone numbers, email addresses, etc., click the add another link to the right of the field.

  • Can I combine two of my contacts' information in Doorbell?

    Yes, with the 'Merge' option under the 'Actions' link located within the contact's profile. This allows you to combine all contact information from one contact and merge it into another contact's information. If you select this option you will be prompted by a screen to designate who is the 'winner' and who is the 'loser' of the merge. The 'winner' will gain all contact information and be retained as a contact. The loser will lose all contact information and disappear from your contact list. There are restrictions to this process, as your 'Smibs Network contacts' cannot become the 'losers'.


Notes, Tasks, Tags, Groups and Opportunities FAQ's

  • What is a Tag?

    Tags help to categorize and organize your contact list. The tag categories will appear in the header of your contact list and are useful for quick searches of your contacts.

  • If I write a note or task for one of my contacts, will they be able to view it?

    No. The notes and tasks will only appear within your company's or personal Doorbell.

  • What is a Note?

    Notes are used to help you describe how you know a contact or to attach any other vital information about a contact that you may need in future. You can add the note immediately, or select a specific date and time when you want the note to appear. Once you are finished, select save and the Note will appear on your contact's page in Doorbell.

  • How do I create a Note?

    You can create a note by selecting a contacts profile in 'Doorbell'. When their contact profile appears, click on the 'What's up' tab and enter the information as prompted.

  • What is a Task?

    Tasks are used to remind you or others about a specific event, opportunity or follow up involving the selected contact.

  • How do I create a Task?

    There are many different ways to create a Task. To create a general Task, select the 'Tasks' option in 'Doorbell' header. Select the 'Add task' button in the middle of the page, fill out the fields and assign the task. The 'What kind of task' drop menu will help you to describe and categorize the specific event.

    You can describe the task in the 'Note' area. The 'Configure this task' area allows you to customize when the task is due, and who is responsible. The 'Show extras' option will allow you to share files and opportunities through the task. When you are finished hit save and the 'Task' will appear in the 'Tasks' menu in your 'Doorbell' interface. The 'Task' will also be sent to the 'Tasks' inbox in the Smibs Network Dashboard.

  • How do I manage my Tasks?

    You can manage your Tasks through the 'Smibs Dashboard' or through the 'Tasks' area in in Doorbell. From here, you can edit, delete, complete or review your Tasks.

  • Why do I need Groups?

    By creating and populating 'Groups' you can better organize and diversify your contact list. Groups also enable you to perform actions to multiple contacts simultaneously.

  • How do I create a Group in Personal Contacts and Doorbell?

    To Create a 'Group':

    1. Select the 'Groups' option in the header of the Doorbell interface.
    2. Click on the 'Add Group' button at the bottom of the page to start a new 'Group'.
    3. Name the 'Group' and type in a brief description if you like.
    4. To populate the 'Groups', select the 'Add Contact' option and enter their name.
  • How can I export a large number of contacts as a vCard file in Doorbell?

    To export large groups of contacts as a vCard file, create a group and populate it with the contacts that you would like to export. Then select the 'Export vCard' option in the 'Group Actions' area on the far right.

  • What is an Opportunity?

    Adding an 'Opportunity' is a way for you, your Company and the members of your Company to track potential business leads. These 'Opportunities' can be assigned to single individuals or teams of individuals for follow up. These 'Opportunities' can be reviewed and edited at any point.

  • How do I create an Opportunity in Doorbell?

    To add an 'Opportunity':

    1. Select the 'Opportunities' option in the header of the Doorbell interface.
    2. Click on the 'Add Opportunity' button at the bottom of the page to start a new 'Opportunity'.
    3. Name the 'Opportunity' and type in a brief description if you like. You may also select various other fields that pertain to the Opportunity.
    4. To assign an 'Opportunity' to a unit, team, company, or individual, select the 'Permissions' tab.
  • How can I manage my Opportunities?

    You can manage your opportunities through the 'Opportunities' option in the Doorbell toolbar. From here you can see the status of all current and past opportunities, and delegate responsibilities to individuals or teams as necessary.
